1.1 Why move from Excel to Power BI?

Excel is where almost every analyst starts, and for small, one-off analysis it's still a greattool. But the moment a report needs to be refreshed weekly, shared with ten stakeholders,or combine data from three different systems, Excel starts to strain. Formulas silently break when rows are inserted, "final_v3_FINAL.xlsx" files multiply across inboxes, and every refresh means someone manually copying and pasting new numbers into the same tired pivot table.

Power BI solves this by separating three things that Excel blends together: the data, the
model (relationships and calculations), and the visual layer. Once your data is connected
and modelled correctly, refreshing the report is a single click — or fully automatic — and
everyone views the same live numbers instead of emailing spreadsheets back and forth.

1.2 Excel Reports vs Power BI Reports

An Excel report is a fixed snapshot — rows, columns, and a chart frozen at the moment it was built. A Power BI report is a live lens onto a data model: click a bar in a chart and every other visual on the page filters instantly to match. The underlying numbers are calculated on demand from the model, not typed or pasted into cells.

This distinction matters because it changes how you design. In Excel you design for a single, fixed view. In Power BI you design for exploration — the same page needs to answer "what happened overall," "what happened in the South region," and "what happened for Product X" without you building three separate sheets.

1.3 Power BI Desktop & Interface

Power BI Desktop is the free authoring tool where reports are built, and it has three main views accessible from the left-hand rail: Report view (where you design pages with visuals), Data view (where you inspect the actual rows in each table), and Model view (where you see and manage relationships between tables). Understanding which view to work in is the first real skill a beginner needs.

The ribbon along the top houses Get Data, Transform Data (which opens Power Query),and Publish — the three buttons you will use in almost every session. The Fields pane onthe right lists every table and column in your model, and the Visualizations pane next to itis where you choose chart types and drag fields onto them.
